Submitting and amending motions to the AGM

NFYFC's Annual General Meeting takes place on 21 April 2024 and the second draft agenda has now been shared with clubs and counties.

Only YFC clubs, county federations and NFYFC’s Council are invited to submit a motion or amend a motion that can be debated at the AGM. It’s an opportunity to put forward motions to be discussed on a national scale.

Now that the motions have been submitted, clubs and county federations have until 14 March 2023 to submit any amendments to the motions. It's a good opportunity to get your club together to discuss the motions and decide how you will vote, as well as to discuss any amendments you might want to submit.

Promote it:

Tell your YFC members that you will be holding a discussion to talk about motions put forward to the NFYFC Annual General Meeting and let them know when and where this will be in advance.

Plan the discussion:

When chairing the discussion, remind everyone that all ideas count and you wish to hear different opinions from the room. The discussion could lead to a vote to decide if you want to amend a motion or how you will vote on a motion.

Those who are not current members aged 10 to 28 (therefore without with a current membership card) should be reminded they are observers and do not hold a vote at a club discussion. Associate members are also observers and do not hold a vote.

Choose if you will hold:

  • Whole group discussion. Allow a set amount of time to discuss, bring to a close, summarise then vote.  As chair, be prepared to manage the discussion and encourage YFC members aged 10 to 28 to have their say.
  • Small group discussion. Consider holding several small groups discussions and then feedback to the whole group. This is very effective to get everyone’s view heard.

Remind everyone to:

  • Respect each other’s opinions – even if these are different from each other or your own.
  • Allow people to have their voice heard and listen to each other.

Choosing a topic:

It is no longer possible to submit a motion for the 2024 AGM but there is still time to make amendments to those motions that have been submitted.

For future reference though for your own AGM or for the national one, topics discussed at the Annual General Meeting are not limited to the administration of the organisation or YFC subscriptions. Why not discuss topics of current interest to you that might be affecting rural young people living and working in rural England and Wales?

In a future year, you could decide to submit a motion that focuses on actions you would like NFYFC to take to support the countryside and conservation/environment, rural transport, social media, employment, housing and much more.

Take notes:

There will be lots of different views being heard. Take notes and when the conversation comes to an end, summarise the main points from your notes before the meeting takes a vote.

Remember to share this with the person who will be proposing motions or amendments to motions at the NFYFC AGM.

Deadline:

Amendments to motions must be received at the YFC Centre no later than Thursday 14 March 2024 (12 noon) addressed to James Eckley, Chief Officer. NFYFC, YFC Centre, 10th Street, Stoneleigh Park, Kenilworth, Warwickshire CV8 2LG (envelopes marked ‘Private & Confidential’) or sent via email directly to Caryn.May@nfyfc.org.uk on or before the deadline of 14 March 2024.

The final agenda will then be published and shared with YFC Clubs and County Federations by the 24 March 2024.
